This policy explains what personal information Oak Lodge Landscapes Limited (“we”, “us”, “our”) collects when you use oaklodgelandscapes.ie why we collect it, how long we keep it, and what rights you have over it.

We keep this deliberately short and plain. If anything here is unclear, please ask – contact details are at the end.

What information we collect

Information you give us

If you fill in the enquiry form on our website, we collect:

  • your name
  • your email address
  • your phone number
  • anything you choose to write in the message field

That is the only form on the site. We do not ask for payment details, and we do not operate user accounts or logins for customers.

If you contact us directly by email or phone instead, we will hold whatever information you provide in that conversation.

Information collected automatically

Website analytics. We use Fathom Analytics to understand how the site is used – for example, how many people visited a page and which pages are popular. Fathom is a privacy-focused, cookie-free analytics service:

  • It does not set cookies and does not track you across other websites.
  • It does not build advertising profiles or sell data.
  • It briefly processes your IP address and browser user-agent in order to count visits. This is converted into an anonymised hash, and the underlying data is discarded within roughly 48 hours. We cannot use Fathom to identify you.
  • For visitors in the EU, that anonymisation happens on EU-based servers before the data reaches any non-EU infrastructure.

Fathom acts as our data processor under a data processing agreement.

Server logs. Our hosting provider, Web Parade Limited, keeps standard technical logs (including IP addresses) for security, diagnostics and to keep the site running. These are generated automatically by the server, not by us.

We do not send marketing emails or newsletters. We only contact you about your own enquiry or the work we are doing for you. If that ever changes, we will update this policy and give you a clear way to opt out.

Cookies

We do not use tracking, analytics or advertising cookies on this site. Our analytics provider, Fathom, is cookie-free by design.

The only cookies that may be set are strictly necessary ones required for the website to function or stay secure. Under the Irish ePrivacy Regulations (S.I. 336/2011), strictly necessary cookies do not require your consent.

We do not currently run advertising, remarketing or conversion tracking of any kind. If we introduce it, we will update this policy and ask for your consent first.

Who we share it with

We do not sell your information, and we do not share it with third parties for their own marketing. We do not use a CRM.

We do use a small number of service providers who process information on our behalf, under contract and on our instructions only:

  • Web Parade Limited, t/a WebBuddy.ie – hosts the website and its database, where form submissions are stored
  • Fluent Forms – handles the enquiry form
  • Google Gmail – delivers and stores the email your enquiry generates
  • Fathom Analytics (Conva Ventures Inc.) – cookie-free website analytics

We may also disclose information where we are legally required to – for example to comply with a court order or a lawful request from an authority.

International transfers

Our analytics provider, Fathom Analytics, is operated by Conva Ventures Inc., a Canadian company. For EU visitors, Fathom’s “EU Isolation” processes and anonymises your IP address on EU-based servers before it reaches any non-EU infrastructure, so identifiable data is not transferred outside the EEA for this purpose.

Where any other provider processes data outside the EEA, we rely on an appropriate safeguard under Chapter V of the GDPR, such as a European Commission adequacy decision or Standard Contractual Clauses.

How long we keep it

  • Enquiry form submissions: retained for 2 years, then deleted.
  • Email and phone correspondence: retained for as long as needed to deal with your enquiry or the work, and normally no longer than 2 years after our last contact.
  • Analytics data: aggregated and anonymised, so it is not personal data. The underlying identifiers are discarded by Fathom within roughly 48 hours.
  • Server logs: kept for a short period by our hosting provider for security and diagnostics.

We may keep information for longer where we are legally obliged to (for example, tax or accounting records), or where it is needed to establish or defend a legal claim.

How we protect it

The website is served over an encrypted HTTPS connection. Access to form submissions and email is restricted to people in our business who need it, and is protected by strong passwords. No system is perfectly secure, but we take reasonable steps to keep your information safe.

Your rights

Under the GDPR you have the right to:

  • access the personal information we hold about you
  • rectify it if it is wrong or incomplete
  • erase it (“right to be forgotten”) in certain circumstances
  • restrict how we use it in certain circumstances
  • object to processing based on legitimate interests
  • data portability — receive certain information in a machine-readable format
  • withdraw consent, where we relied on consent (we currently do not)

You are not subject to any automated decision-making or profiling on this site.

To exercise any of these, email oaklodgelandscapes@gmail.com. We will respond within one month. We do not charge a fee, and we may need to verify your identity first.

Complaints

If you are unhappy with how we have handled your information, please contact us first — we would like the chance to put it right.

Complaints must be made in writing via the DPC’s online form.

Children

Our website and services are aimed at adults. We do not knowingly collect information from children. If you believe a child has given us their information, contact us and we will delete it.

Changes to this policy

If we change how we handle personal information – for example, if we reintroduce advertising or start sending marketing – we will update this policy and change the “Last updated” date above. If the change is significant, we will make that clear on the site.
